Bemidji State University (BSU) invites applicants to join our team as a TRIO Academic Advisor. This position will provide assistance with daily operations under TRIO programs. This includes Upward Bound, Student Support Services and the McNair Scholars Program. Under the supervision of the TRIO Director McNair Associate Director, the TRIO Coordinator assists with the daily operations of the TRIO programs.
The TRIO Coordinator will assist in coordinating individualized services and project events designed to provide graduate/professional school preparation and individual assistance to scholars including student advising, graduate school seminars and visits, and research opportunities. They will also maintain documentation of all services provided and data collection for the Department of Education Performance Report.
This position is responsible for data processing and systems coordination for all TRIO and other related academic and student support programs (to include but not limited to Student Support Services) participant records (student files and electronic tracking records). Working with TRIO/SSS faculty and staff to coordinate and supervise the tutoring program as well as tutoring students.
Responsibilities of the TRIO Academic Coordinator include:
- Assisting in the development and implementation of TRIO services in accordance with the federal program regulations and university policy. (55%)
- Providing support in planning, implementing, and evaluating services of the McNair Scholars Program.
- Understanding and administering operating policies and procedures set by the US Department of Education.
- Participating in the development and modification of program goals, objectives, services, activities, and policies, in accordance with scholar needs, institutional objectives and resources and funding agency requirements.
- Coordinating with the McNair Associate Director to develop and conduct seminars; planning and participating in other program activities including orientation and special events.
- Meeting regularly with participants to assess their academic progress and research.
- May teach one or two TRIO courses each academic year.
- Providing graduate school advice and academic counseling.
- Providing guidance to participants throughout the graduate school and financial aid application process.
- Providing guidance to participants with finding off-campus research or internship opportunities.
- Participating in program development, staff training, regular staff meetings, and staff development opportunities. Sharing information and observations with other staff members.
- Assisting in TRIO program evaluations.
- Coordinating all aspects of scholar travel to conferences and graduate schools. (20%)
- Planning all travel to Graduate School Visits, Graduate Application Retreats, and National Research Conferences.
- Supervising participants on graduate school visits and relevant academic conferences.
- Requesting all travel documentation from participants and preparing all travel requests.
- Preparing participants for travel to events with flight, hotel, transportation, and event information.
- Reconciling scholar travel expenses.
- TRIO tutoring. (20%)
- Supervising and directing the TRIO tutoring program.
- Interviewing, hiring, training and performing other supervisory duties for student tutors so that all services are performed in a quality and expedient manner.
- Conducting performance evaluations of student workers.
- Developing policies and procedures for the TRIO tutoring program, tracking and reporting on TRIO students who receive tutoring services.
- Administrative duties record keeping, data collection. (5%)
- Completing ongoing administrative tasks associated with the program, such as maintaining program records and database.
- Preparing and creating materials to support the TRIO program. Assisting with coordination and communication of TRIO programs and events.
- Preparing and authorizing purchase orders, ordering, and maintaining office supplies.
- Maintaining up to date budget tracking.
- Preparing on-line input each semester for department’s class schedule listings.
- Updating TRIO participants files regarding academic progress.
Minimum qualifications for this position include:
- Master’s degree plus one (1) year of experience in higher education administration, student development, counseling, social work or a STEM-related field from an accredited college or university OR Bachelor’s degree plus two (2) years of experience in higher education administration, student development, counseling, social work or a STEM-related field from an accredited college or university OR three (3) years of experience in higher education administration, student development, counseling, social work or a STEM-related field from an accredited college or university OR an equivalent combination of post-secondary training, education and/or related professional experience.
- Demonstrated ability to work with federal TRIO programs, academic support programs, or similar programs serving first-generation, low-income, and underrepresented students.
- Commitment to diversity, inclusion, and social justice in higher education.
- Demonstrated strong oral and written communication skills.
Preferred qualifications include:
- Knowledge of and experience working with complex federal grants, specifically OMB (Office of Management and Budget) circulars, EDGAR (a federal regulation) and other federal regulations set by the US Department of Education.
- Demonstrated understanding and commitment to first-generation students and students from historically underrepresented groups in higher education.
- Experience with academic, career and personal counseling/coaching, and graduate school admissions processes.
- Experience advising and assisting first-generation college students with high impact practices.
- Demonstrated ability to work with faculty from various disciplines.
- Experience in conducting developmental workshops such as study skills, time management, and university degree plans.
